This Privacy Policy explains how Almanac Fit (“we,” “us,” or “our”) collects, uses, stores, shares, and protects personal information when you use the Almanac mobile application, the Almanac Coach mobile application, the website located at https://almanac.fit/, and any related services, features, and functionality (collectively, the “Services”).
In this Privacy Policy:
- “Almanac” refers to the athlete and end-user app.
- “Almanac Coach” refers to the coach and trainer app.
- “You” refers to the person using the Services.
By using the Services, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
We may collect the following categories of information, depending on how you use the Services.
1.1 Information you provide directly
- Account details such as your email address, sign-in method, display name, username, and profile information.
- Optional profile details such as phone number and profile photo.
- Fitness, training, and wellness information you choose to enter, such as workout plans, exercises, sets, reps, weights, notes, training history, goals, and progress records.
- Coach and client data used inside Almanac Coach, including managed client profiles, client names, optional client emails, optional client phone numbers, client photos, training plans, workout history, invitation links, and claim-link workflows.
- Communications you send to us, including support requests, feedback, or account-related messages.
1.2 Information collected automatically or generated through use of the Services
- Subscription and entitlement status, including whether you have an active paid subscription.
- Technical and device-related information needed to operate the Services, such as app settings, language preferences, local app state, and offline sync state.
- Basic service logs and security-related data processed by our infrastructure and service providers when you sign in, sync, or use connected features.
1.3 Information from third parties
- If you sign in with Apple or Google, we may receive basic account information from those providers, such as your email address, account identifier, and in some cases your name.
- If you purchase a subscription through Apple or another platform, we may receive subscription status, entitlement information, and transaction-related metadata from our subscription and payment service providers. We do not receive your full payment card number.
1.4 Camera, photos, and notifications
- If you choose to upload a profile or client photo, the app may access your camera or photo library only when you initiate that action.
- If you use the rest timer feature, the app may request permission to send local notifications on your device so your timer can alert you when rest is complete.
2. How We Use Information
We use personal information to:
- create and manage your account;
- authenticate sign-in and maintain account security;
- provide the core features of Almanac and Almanac Coach;
- save, sync, and display your workout, progress, and planning data;
- enable coach-client connections, invitations, managed accounts, and client planning features;
- process and validate subscription access and restore purchases;
- store your preferences and support offline or device-local continuity features;
- send or trigger local device notifications you request, such as rest timer alerts;
- respond to support requests and troubleshoot problems;
- protect the security, integrity, and reliability of the Services;
- comply with legal obligations and enforce our Terms of Use.
3. How Information Is Stored
Your information may be stored:
- on your device, including app settings, temporary state, offline data, and other locally cached information used to improve continuity and offline functionality;
- in our cloud infrastructure and database providers to support authentication, syncing, account management, coach-client features, and file storage;
- by our subscription and authentication providers to support purchases, login, and account access.
4. How We Share Information
We do not sell your personal information. We do not use your personal information for cross-app tracking or third-party advertising based on the current version of the Services.
We may share information in the following limited circumstances:
- With service providers: such as infrastructure, authentication, storage, and subscription-management providers that help us operate the Services.
- With connected coaches or clients: when you use features that connect an athlete with a coach, the relevant workout, planning, profile, and progress data may be visible within that coach-client relationship.
- With platform providers: such as Apple or Google, where needed for sign-in, purchases, app distribution, or platform functionality.
- For legal or safety reasons: when required by law, lawful request, court order, or to protect rights, safety, security, or the integrity of the Services.
- In a business transfer: if our business is involved in a merger, acquisition, financing, asset sale, or similar transaction.
5. Coach-Client Data Visibility
If you use Almanac Coach, you may create or manage client profiles and access client workout and planning data within the platform.
If you use Almanac and connect to a coach, your coach may be able to view and manage certain information associated with your training, account profile, workout logs, progress, and planning inside the Services.
Coaches are responsible for how they use client data within the Services and for obtaining any permissions or consents they may need under applicable law.
6. Legal Bases for Processing
Depending on where you are located, our legal bases for processing personal information may include:
- performance of a contract, including providing the Services you request;
- your consent, where required;
- our legitimate interests in operating, securing, and improving the Services;
- compliance with legal obligations.
7. Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, maintain your account, support coach-client relationships, comply with legal obligations, resolve disputes, and enforce our agreements.
If you request deletion of your account, we will delete or anonymize your personal information where reasonably possible, subject to legal, security, fraud-prevention, backup, and operational retention requirements.
8. Your Rights and Choices
Depending on your location, you may have the right to:
- access the personal information we hold about you;
- request correction of inaccurate information;
- request deletion of your information;
- object to or restrict certain processing;

- withdraw consent where processing is based on consent.
You may also be able to:
- update some profile information inside the app;
- use in-app account deletion functionality where available;
- manage subscriptions through your Apple account or other purchase platform;
